Opening an EDI file in Excel directly shows one long line of codes such as PO1*1*24*EA*6.25. This converter reads that code for you. Purchase orders, invoices and ship notices get readable column names, quantities and prices as numbers, and one row per document and per line. Every other document is listed segment by segment.

What the Excel workbook contains

Summary: the sender and receiver IDs, dates and control numbers of each interchange, the document types in the file and how many of each, and notes on any count that does not add up.
Purchase Orders and PO Line Items (X12 850, EDIFACT ORDERS): one row per order with the PO number and date, the parties (such as ship-to and bill-to), references and requested dates, and one row per line with quantity, unit, unit price, product IDs (such as buyer and vendor part numbers, UPC or GTIN) and description.
Invoices and Invoice Line Items (X12 810, EDIFACT INVOIC): invoice number and date, the order it refers to, the parties (such as remit-to or supplier), tax and invoice totals, and one row per invoiced line.
Ship Notices and Ship Notice Items (X12 856): carrier, bill of lading, ship-from and ship-to, weight and package count, and one row per item, with the PO number and carton marks of the order and carton it was packed in.
Segments: every segment of the file, of any document type, with its name and each element in its own column (E01, E02 and so on).

Every other EDI document still converts

Purchase orders, invoices and ship notices get their own tailored sheets. Any other document, for example an 855 order acknowledgment, a 997 functional acknowledgment, a 214 shipment status, an 846 inventory advice or an EDIFACT DESADV, comes out on the Segments sheet: one row per segment, with the document it belongs to, the segment name and each element in its own column, so you can still filter and read it.

Which EDI files can I upload?

ANSI X12, in common versions such as 004010 and 005010.
UN/EDIFACT, in directories such as D96A, with or without the UNA service string.
Any separators: * or |, segments ended by ~ or by line breaks, or the whole file on one long line. The separators are read from each file's own header.
Several interchanges, groups and documents in one file.
Files named .edi, .x12, .edifact, .txt or .dat, or EDI text pasted straight into the page.

What is an EDI file?

EDI (Electronic Data Interchange) is how companies exchange business documents such as purchase orders, invoices and ship notices directly between their systems. An EDI file is plain text made of segments, short records such as BEG, PO1 or N1, each split into elements by a separator such as * or +. The two main standards are ANSI X12, used mostly in North America, and UN/EDIFACT, used internationally.

How do I open an EDI file in Excel?

Excel cannot read the EDI layout directly: the file opens as one long line or a single column of codes. Upload it to our EDI to Excel Converter instead, click 'Run Conversion' and download the workbook. Each purchase order, invoice or ship notice becomes rows and columns you can filter and total.

Which EDI documents get a tailored layout?

X12 850 purchase orders, 810 invoices and 856 ship notices (ASN), and EDIFACT ORDERS and INVOIC messages get a header table (one row per document) and a line item table, with readable column names such as PO Number, Ship To Name, Quantity, Unit Price and Buyer's Part No. Every other document, for example an 855, 997, 214 or 846, or an EDIFACT DESADV, is listed on the Segments table: one row per segment, with the segment name and each element in its own column.

What does the Excel file look like?

Which X12 versions and EDIFACT directories are supported?

Common X12 versions such as 004010 and 005010, and EDIFACT directories such as D96A, with or without the UNA service string. The separators are read from each file's own header, so files that use * or |, ~ or line breaks, or other separators all convert, including files that hold several interchanges.

Can I convert many EDI files at once?

What if my EDI file has errors or is incomplete?

The counts and control numbers in the trailer segments (SE, GE and IEA, or UNT and UNZ) are checked, and any mismatch is listed in the Notes on the Summary. It does not stop the conversion. A file that is cut off still converts up to the point where it ends, and you are told that it looks incomplete.

Is it safe to upload EDI files?
