JSON vs Excel: Differences and How to Convert
JSON is for software, Excel is for people. Here is how the two differ, where data gets lost between them, and how to convert in either direction.
Short answer: JSON is a text format that apps and APIs use to exchange data. Excel is a spreadsheet for people to read, filter and calculate. JSON can nest objects inside objects, while an Excel sheet is a flat grid. Use JSON when software reads the data, and Excel when a person does. To move between them, convert: JSON to Excel turns each object into a row, and Excel to JSON turns each row into an object.
JSON vs Excel at a glance
| JSON | Excel (XLSX) | |
|---|---|---|
| What it is | A text data format | A spreadsheet file |
| Made for | Apps, APIs, config files | People: reports and analysis |
| Structure | Nested objects and arrays | Rows, columns, sheets |
| Data types | String, number, boolean, null | Numbers, text, dates, booleans, formulas |
| Dates | No date type, usually ISO 8601 text | Real dates |
| Formulas, charts, formatting | No | Yes |
| Size limit | None in the format | 1,048,576 rows by 16,384 columns per sheet |
| Opens in | Code editors, browsers, any programming language | Excel, Google Sheets, LibreOffice Calc, Numbers |
The same data in both formats
A list of records is where the two meet most naturally:
[
{ "name": "Anna", "city": "Berlin", "orders": 3 },
{ "name": "Ben", "city": "Austin", "orders": 7 }
]
| name | city | orders |
|---|---|---|
| Anna | Berlin | 3 |
| Ben | Austin | 7 |
Each object becomes a row, each key becomes a column. As long as the JSON is a flat list like this, the conversion is simple in both directions.
Where JSON and Excel don't line up
Real data is rarely that flat. These are the spots where a conversion needs a decision:
- Nested lists. An order with several line items has no single natural place in a grid. You either give each item its own row and repeat the order details, or keep one row per order and spread the items across numbered columns (
items/0/sku,items/1/sku). - Dates. JSON has no date type, so dates arrive as text like
"2026-11-01". Excel keeps dates as real date values, which is what lets you sort and filter by month. - Long numbers. Excel keeps only 15 significant digits. A 16-digit or longer ID turns into a rounded number, and the last digits become zeros. Keep long IDs as strings in JSON.
- Leading zeros. When Excel treats
02134as a number, it becomes2134. ZIP codes, phone numbers and product codes should stay text. - Row limit. One sheet holds 1,048,576 rows. A bigger JSON file needs CSV, which has no limit.
Can Excel open JSON files?
Yes, with some work. In Excel for Windows (Microsoft 365, or Excel 2016 and later) go to Data > Get Data > From File > From JSON. Power Query loads the file, and then you expand records and lists column by column until you have a table.
That is fine for a quick look at one file. For nested data, large files, or the same export every week, a converter is faster: you pick the layout once and get the same table every time.
When to use JSON and when to use Excel
Use JSON when:
- data goes to or comes from an app or API,
- you need a config file,
- the data is nested and must stay that way, or
- the work runs automatically, with no person in between.
Use Excel when:
- a person needs to read, filter, total or chart the data,
- you are sharing it with colleagues who don't read code, or
- you need formulas, formatting or several sheets.
Convert between JSON and Excel online
- JSON to Excel: turn an API response or export into an XLSX or XLS sheet. The Output layout option decides how nested lists become rows and columns, and Copy parent nodes values repeats parent fields on every child row.
- Excel to JSON: turn a sheet into a JSON array, with the first row used as keys.
- More rows than Excel can hold? JSON to CSV has no row limit.

Frequently asked questions
What is the difference between JSON and Excel? JSON is a text format that stores data as nested objects and arrays, for software to read and exchange. Excel is a spreadsheet file that stores data in rows and columns, with formulas and formatting, for people to work with.
Is JSON better than Excel? Neither is better, they do different jobs. JSON is better for moving data between systems. Excel is better when a person needs to analyze or present the data. Most teams use both and convert between them.
Can Excel read JSON? Yes. In Excel for Windows, use Data > Get Data > From File > From JSON. Flat files load quickly. Nested files need extra steps to expand into a table.
Why do my numbers change when I open JSON data in Excel? Excel keeps only 15 significant digits and drops leading zeros from anything it reads as a number. Long IDs, ZIP codes and phone numbers should be strings in the JSON so they stay as text.
How do I convert Excel to JSON? Open the Excel to JSON converter, upload your .xlsx or .xls file, and download the .json file. By default, the first row becomes the keys and every other row becomes an object.
